This Comprehensive Data Retention Policy outlines how Shiftkart Logistics Private Limited collects, stores, protects, and eventually deletes the personal and logistical data submitted through our platform. We are committed to minimizing data retention while ensuring we meet our operational, legal, and regulatory obligations.

1. Data Collection and Purpose

When you submit an inquiry through our platform, we collect specific information necessary to evaluate and facilitate your logistics request. This includes:

  • Personal Identification: Name, phone number, and email address.
  • Logistical Data: Pickup and drop-off addresses, inventory details, preferred dates, and specific handling requirements.
  • Communication Records: Logs of phone calls, emails, and WhatsApp messages exchanged with our team regarding your inquiry.

This data is used exclusively for assessing service feasibility, generating quotations, coordinating with Service Partners, and providing customer support.

2. Retention Periods

We do not keep your data indefinitely. Our retention periods are dictated by the status of your inquiry and our legal obligations:

2.1. Unconverted Inquiries

If you submit an inquiry but do not proceed to book a service (e.g., you decline the quote, or we are unable to service the route), your personal data and logistical details will be retained for a maximum of 6 months from the date of your last interaction with us. This period allows us to quickly reference your requirements if you change your mind, after which the data is permanently deleted or fully anonymized for statistical analysis.

2.2. Completed Services

For users who proceed with a service arrangement, we are legally required to retain certain transaction records for taxation, accounting, and dispute resolution purposes. Financial records, invoices, and core service details will be retained for a period of 5 years as mandated by Indian corporate and tax laws. However, specific inventory lists and day-to-day communication logs will be purged after 1 year.

2.3. Partner and Driver Data

Information regarding our Service Partners, including KYC documents, vehicle registration, and performance history, is retained for the duration of their active partnership with us, plus an additional 3 years post-termination for legal and compliance reasons.

3. Data Security and Storage

We employ industry-standard security measures to protect your data during its retention period:

  • Encryption: All data transmitted between your browser and our servers is encrypted using TLS/SSL protocols.
  • Access Controls: Access to user data is strictly limited to authorized Shiftkart Logistics personnel who require it to perform their job duties.
  • Secure Infrastructure: Data is stored on secure, access-controlled cloud servers located within India, compliant with local data localization norms.

4. Data Anonymization

When the retention period expires, data is either securely deleted or anonymized. Anonymization involves removing all personally identifiable information (PII) so that the remaining data (e.g., popular routes, average volume) can be used for internal business analytics and service improvement without being linked back to any individual.

5. User Rights and Deletion Requests

You have the right to request the early deletion of your personal data. If you wish to have your information removed from our systems before the standard retention period expires, you may submit a formal request.

Please note: We may deny deletion requests for data that we are legally required to keep (such as completed invoices) or data required to resolve an ongoing dispute.
